
Artech Digital's sales team needed a structured, repeatable follow-up system after sales interactions. Leads were falling through the cracks after no-shows and post-call conversations, with no consistent cadence for follow-up, logging, or handoff to the next stage. Manual tracking across email, SMS, and a Lead DB was creating gaps and lost conversions.

We built a VA-operated follow-up automation system with three distinct flows triggered by lead status: No-Show re-engagement (Flow A), post-call PRD booking (Flow B), and PRD delivery close (Flow C). Each flow runs a multi-touch email/SMS cadence (up to 7 steps over 22 days), with messages generated via custom ChatGPT prompts fed by Fathom call transcripts. Every touch is BCC'd to the account owner, logged in the Lead DB, and stopped automatically when a lead books, buys, or declines.

Full follow-up coverage across all three pipeline stages with zero manual sequencing. Consistent cadence execution, structured logging per touch (channel, template, reply status, next date), and clear stop rules eliminate drop-offs. Sequences auto-personalized per lead using Fathom transcripts + ChatGPT — reducing VA prep time per lead significantly.

This build took about 2 months to complete from start to finish.
